When dealing with any type of data, it's always important to consider whether the data you're dealing with is sensitive. For example, sensitive data could be employment data, race data, or a person's political beliefs.
In Agillic, Person Data is set as sensitive by default when it's first created. If a Person Data is set as sensitive, it will limit who can see the Person Data values for recipients, depending on what Profile Group the user viewing the data belongs to. This makes it possible to control who is supposed to see sensitive data and who isn't.
In this article, we cover:
Agillic's Recommended Best Practice for Data Sensitivity Management
Getting Started
The first step to managing the sensitivity of your data is to know the data. Ideally, you should have A map of each data point, what they contain, and what you use them for. This is often created externally but can, in theory, be set up inside Agillic using the description field for each Person Data field. Looking at such a map of data should allow you to easily locate which data should be set as sensitive.
What Data is Sensitive?
Person Data will always be personal in the sense that the data can be different for each recipient. This isn't the same as sensitive.
Sensitive data is any information that is personal, specifically if you can use it to identify the recipient. Sensitive data includes but is not limited to:
- Data regarding minors.
- Employment data.
- Race or ethnic origin.
- Political, religious, or philosophical beliefs.
- Trade union membership.
- Health or genetic data.
- Biometric data.
- Sexual orientation, sexual relation data.
- Criminal records.
Data Sensitivity Levels by Default
By default, all pre-created Person Data fields in Agillic are set as sensitive. The only exception is Fixed Person Data which isn't marked as sensitive. All new Person Data is set to sensitive by default.
These default rules are in place to ensure all data is sensitive unless manually changed by an Agillic user.
How to Change the Sensitivity Level of Person Data
You can change a Person Data field's sensitivity level independently. To modify the sensitivity of a Person data field, you can follow the article on how to set Person Data as sensitive.
How to See Sensitive Data
The profile group your Agillic user belongs to determines if you can see sensitive data or not. Learn how to create a Profile Group here.
